Introducing Products in NEW SAM

This guide will walk you through the new features and changes to products in SAM.

Improvements to Products

Can now have Multiple price points within 1 product

  • Example: Jewellery - different sizes can now be within one product
  • Example: Tshirts – Adult and kids sizes in one product

Variations can have individual images
Example: For a range of bags, each unique design can be set up as a variation, and have the image linked. Images can be pulled through to webstore via API, and shown on QR pages

Artists are properly linked to products

Making searching and finding products in SAM easier and better connections on SAM linked webstores

More choice for making product artist payments
You are now able to assign ownership and select when an artist account is updated (Either at Goods received or Point of sale.)

  • Example 1 – Artist owned, paid at POS
    Hand printed fabric, printed by the artist in the studio. Art centre agrees to sell the fabric on behalf of the artist and pays them a commission once sold (POS). The artist owns the fabric and GST does not apply to the sale.
  • Example 2 – Art centre owned, paid at Goods received
    Handmade woven earrings, Art centre buys the earrings from the artist and pays them when (GOODS RECEIVED). The art centre now owns the earrings and GST will apply to the sale.
  • Example 3 – Art centre owned, paid at POS.
    Fabric meterage, Art centre buys blank fabric stock and contracts a fabric printing company to print 20 metres of fabric,  the artist is paid a fee or royalty per metre for their design reproduction as the fabric is sold (POINT OF SALE). The Art centre owns the goods, and pays the artist a fee to reproduce their design.

Products that feature artworks.
It's now easier than ever to link and share the provenance of an artwork reproduced on a product.
Users can select whether the product features an artwork, and if that artwork is catalogued, you can directly link to it, automatically linking the story, images and artist/s.

Variations are visible in product search list
Upload and store documents related to a product – e.g. order invoice
Better data specific to products – Details
A new place to record what the product is – materials/mediums, colour/finish, how it was made, care instructions, specifications. Note: Details is in additional field

Changes to Products & Stock Management

One ‘title’ field
In current SAM there are 2 places that record similar information

  • Product Name
  • Description

In NEW SAM this will change, your data will be mapped based on how you use this currently*

Web categories are no longer.

Sub-categories and parent categories will consolidate categories. 
These will be accessible through the web api.

Moving products between categories once they are ‘published’, will no longer be possible in NEW SAM

ACTION: Double check your products are in the right categories before your data migrates.

Check your product categories make sense and are logical. If you wanted to buy a product from your website, would you be able to find it if it was displayed in the category it is in? Reach out if you have any questions or concerns.

Products and multiple artists

  • In NEW SAM all products with more than one artist attached are treated as Collaborations.  If multiple artists are added you will be asked to nominate the payment split.
  • This is a change to how SAM currently works for Art centre owned products, which can have more than one artist attached, whether its collaborative or not.

What this means: When your data migrates from old SAM to NEW SAM. All ‘art centre owned’ products that have more than one artist attached – the artists will not migrate over. No artists will be listed against the product in new SAM, and you will need to re add artists in new SAM.

ACTION: Save a backup report of all your products so you have a copy to cross reference in new SAM and connect any artists. We will provide a report link as part of your onboarding checklist.

  • SAVE a backup excel report of all ‘art centre owned’ products. Products + Variations: Stock - all status



This report shows artists and qtys associated with these products. Due to changes in NEW SAM products, multiple artists linked to these products will not migrate over in the onboarding process and will need to be manually readded based on whether the product is collaborative, or additional products for individual artists needs to be added.

  • When you onboard to SAM you will be able to consider your options and decide the best way for you to setup or change the setup of products in NEW SAM
  • There are new ways you may want to consider for selling art centre owned products, like punu, jewellery or boabs.

1.      One product with multiple price points. Single artist attached

When the same artist is regularly making the same product

If all artists are in one product in old SAM. Best to merge all different price point products  in old sam. Then once migrated over create new duplicate product, per artist  and transfer stock from merged product to new one. This will have to be done via purchasing.  – eg remove stock from merged product and add to new product sequentially

2.      One product with multiple price points, No artist attached. (But can be used for multiple artists, without provenance)

Easy to manage when you have high numbers of artists making same product. Good if not labelling product with artist name or using QR codes

If there are multiple price point products of the same product  in old SAM. Best to merge all different price point products in old sam just prior to migration. Create variations for each size/price point and assign stock. (Important Note be sure your happy with variation name as you cannot rename in new SAM). Then once transferred over change price of variations within single product

3.      One product with artists listed as variations, multiple price points. Add artist as variation name and set price per variation.

Flexible for adhoc artists making, and allows you to identify what was made by what artist. Would work when smaller no of  artists, and product quality varies so you want to set different prices and the prices are bespoke.

Potentially you end up with multiple variations with same name and different prices. Could get messy, and be time consuming setting it up. AS you need to go into product add variation, then come back out and add stock via purchasing. Variation list could be quite long. Artist doesn't display on QR code

4.      One product with single price point, Add artist as variation name

Easy to manage when you have high numbers of artists making same product. And you want to identify individual products by maker, without creating individual products for each artist

If currently set up, can be migrated over as is. All artists attached will be removed, but variation names will have artist name as text only (not linked to artist Bio, or artist account). Proper linking is planned for a later update

What this means: Products and variations will be migrated across based on their stock levels NOT status.

ACTION: before onboarding, do a stocktake and update your stock qty in current SAM. Make sure your quantities are correct. Status - Available / Not available/discontinued will be ignored, so check stock levels on those items and make sure they are 0 or – if you want them to be out of stock.

To add or minus Stock

When you are adding stock it will add to what is already there, if you have 5 items in stock, and you add 10. This will be added to the previous total, bring the total amount to "15". If you need to remove stock, use a negative number. Eg. current total is "50", but want it to be "32" available. Add "-18 "stock. This will bring the total to "32".

  1. Click Add Stock (+)
  2. Add Qty of stock
  3. Click [Save]

Alternatively: Use the Stocktake fucntion and select Products only.
  1. Go to Accounts > Stocktake
  2. Begin new stocktake
  3. Then select Product
    Process the stocktake for products as normal. Once you complete the stocktake, all product stock quantities will update as you have input them.


Improvements to Digital Labelling (QRs)

  • Bulk actions
  • Toggle on and off Online store and QR website
  • Live data on QR website - changes you make in SAM no waiting - check live preview on QR site as you go.
  • Setting up labels is in your control! New easy to use templates
